Things you should know about working as an Administrative Assistant I:

 

This position is responsible for providing proactive and competent administrative support to the Sales leadership team members.

 

What would success look like?

 

• provide administrative and secretarial support to multiple managers including making travel arrangements, filing, taking messages, maintaining office and supplies, etc.

• Compile/develop complex PowerPoint, Excel, Word presentations and other written communications as needed for presentations to executives in-house and externally

• Provide ad hoc systems requests/reports (business review updates/tracking); may conduct research for projects

• Service incoming phone calls for the department

• Serve as back up and adjunct to other administrative personnel as required relating to phone coverage and other assignments and projects as prescribed

• Coordinate and administer routine and special project assignments

• Maintain effective communications with managers and all levels within the organization

• Maintain a variety of files, records and official documents

• Maintain supply and copy room for smooth operation

• handle confidential and/or proprietary information with the utmost integrity

• process invoices and expense reports

 

QUALIFICATIONS

 

• Five years+ of administrative experience; prior executive assistant role a plus

• Prior experience supporting multiple managers

• High proficiency with Microsoft Word, Intermediate Proficiency with Excel, and PoweRPoint a requirement; Ability to learn other applications quickly; Familiarity with other systems applications, e.g. DOS based systems, strongly desired

• advanced to Intermediate charting, graphing and presentation development skills

• Demonstrate sensitivity to deadlines, attention to detail, high sense of urgency

• Demonstrate confidence and capability to handle multiple tasks and changing priorities with limited direct supervision

• Demonstrated analytical ability

• Possess excellent verbal and written communication skills

• Possess excellent telephone skills, familiarity with multi-line phones, and demonstrate a courteous yet competent phone presence

• Excellent organization and project management skills

• Notary Public certification highly desirable

• Should possess a high school diploma or GED. College degree or formalized training is a plus

Valid Driver’s License is preferred
